Who we are
OPTIMAX CONSULTANCY PTY LTD (ABN 51 683 533 539), trading as Optimax Consultancy, is based in Australia. This policy covers our public website, its enquiry forms and its call-booking feature. It does not describe the handling of information within a separately provided Optimax Comply client account.

What we collect
When you contact us, we receive the details you enter, such as your name, company, email address, phone number, state or territory, service interest, proposed deadline, referral source and message. Tender enquiries may include documents you choose to attach. Please only include personal information about other people in those documents if you are permitted to share it.
When you book a call using the embedded Calendly calendar, the booking information you enter is handled by Calendly and made available to us so we can arrange the meeting. Our website and its service providers may also receive technical information such as your IP address, browser and device details, pages visited and security-check results.
If you do not provide the information needed to respond, we may be unable to deal with your request. You can contact us by email or phone instead of using the form.
How we use it
- To respond to enquiries, prepare relevant information or quotes, and arrange calls or services you ask about.
- To deliver and confirm form submissions, including any tender files you attach.
- To protect the website and forms from spam, abuse and security threats.
- To understand interactions with site offers and completed enquiries, and improve the website.
- To maintain appropriate business records and meet applicable legal obligations.
Sending an enquiry does not, by itself, subscribe you to a marketing mailing list. We do not sell the information you submit through the forms.
Who receives it
Our team receives and handles enquiries. We use the following providers to operate the website:
- Replit hosts the website and form-processing service, which handles requests and tender uploads.
- Resend delivers form submissions and attachments to our business email address and sends an acknowledgement to the email address you provide.
- Calendly provides the embedded call-booking calendar; information you enter into it is also subject to Calendly’s privacy practices.
- Cloudflare Turnstile checks form submissions for abuse using browser, device and connection information.
- Google Analytics 4 measures website offer interactions and enquiry completion when its analytics code runs; it may collect usage and device information.
- Google Tag Manager and Meta Pixel run on our ISO certification and free-report landing pages to help measure page interactions and successful enquiries. Meta may receive browser and connection information when its Pixel loads; we do not send your enquiry text or uploaded files in the Lead event.
- Google Ads may receive conversion and device information from tags configured in Google Tag Manager on those landing pages.
These providers may process or store information outside Australia, including in the United States and other places where they operate. Their own privacy notices explain their processing practices. We may also disclose information if required by law.
Security and retention
Form uploads are processed for email delivery rather than stored in a website database. Enquiry messages and attachments may remain in our business email records while needed to respond, provide services, maintain appropriate records or meet legal obligations. Our providers may retain information under their own policies.
We take reasonable steps to protect the information we handle and limit access to people who need it for the purposes above. No internet transmission or storage system can be guaranteed completely secure.
Access, correction and complaints
To request access to or correction of personal information we hold about you, ask for deletion, or raise a privacy concern, email info@optimaxconsultancy.com.au. Tell us enough to identify the information in question; we may need to verify your identity. We will consider requests subject to applicable law and any recordkeeping requirements, and explain if we cannot fulfil one.
If you are not satisfied with our response to a privacy complaint, you can contact the Office of the Australian Information Commissioner.
Changes to this policy
We may update this policy when our practices or providers change. The effective date at the top of this page shows when this version took effect. Please check it when you use the website.
